Meeting Missions: Treating Stagnation with Advanced Technology

A European-based international medical enterprise reexamined its long-standing relationship with a managed service provider (MSP) and determined they needed to transform their programme into a more future-focused, AI-powered approach to a wider, more holistic workforce solution.

Concerned about the stagnation of its current programme, the client sought a new MSP and procurement services partner capable of optimising its supplier list, delivering cost savings, demonstrating expertise in direct sourcing and maintaining long-term client relationships that demonstrate agility in in a continually evolving global market.

Selecting AGS Managed Services (AGS) as its new MSP and procurement services partner, our client charged us with digitising, automating and deploying AI-enabled technologies to modernise and future-proof the company’s workforce management programme. To achieve this, we brought in our proprietary Acumen® Intelligent Workforce Platform to provide visibility, accurate and up-to-the-minute data and AI-powered capabilities to increase efficiency.

In addition, the client needed AGS to leverage its experience of international compliance and regulations across nine countries – UK, US, Canada, India, France, Italy, Germany, Poland and Belgium – and the ability to source a wide range of talent from R&D and technology to logistics, warehouse staff and production roles.

Taking Action: Clear Insights Transform Procurement Strategy

After an in-depth analysis of the client’s operations, we built a strategy to deliver a superior user experience through an innovative and scalable approach to procurement services. For example, the client had been reluctant to complete requests for proposals (RFPs), despite the great potential for cost savings, because the average time to completion could take weeks or sometimes months. With AGS Managed Services on board, the expertise of the AGS team – accelerated and amplified through the use of AI-powered tools via Acumen, such as Globality and Brightfield TDX – reduced time to completion to mere days.

In addition, advanced systems provided full visibility into the client’s entire SOW spend for the first time. With increased access to this data, the client improved SOW negotiations, rate cards and worker tenure, which yielded more than $13.5 million GBP in cost savings in less than a year. Agentic AI tools for preemployment screening were also used to audit the client’s supply chain and optimise vendors from 2,000 to 1,400 — a more than 35% reduction.

By upgrading the technology utilised for the entire SOW process, while staying cognizant of the end-users’ experience, the launch of the new programme was well received and quickly adopted.

“From solution design and project management to tech solutions development and addressing operational challenges, AGS has demonstrated exceptional commitment. Successfully transitioning operations and ensuring business continuity throughout this process is crucial to advancing our initiatives. Your efforts in delivering this seamless transition have played a vital role in preserving that continuity,” said a client executive.

Delivering Impact: Boosting Services to Deliver Fast Results

In less than nine months, the programme created efficiencies that reduced RFP creation from weeks to days, optimised the supplier list, uncovered cost savings and provided visibility for over 40,000 workers from the first day of launch. By creating an end-user experience that inspired rapid adoption, the programme quickly expanded to include headcount tracking for additional global workers – including those covered in regions in South America, Africa and the Middle East. This growth added 5,000 more workers and brought the total number of countries managed to 115 within just six months of launch.

We provided best-in-class service and deployed a change management strategy designed for continued growth and a future-focused vision. With a current management SOW spend of $250 million GBP and an additional $150 million GBP being onboarded into the program, as part of a Globality expansion, it is crucial that we continue to leverage AI, automation and other advanced technologies to enhance how our client accesses talent, maximises cost savings and provides white-glove user experience.
